New Guidelines for PA Notary Stamps: Order New Notary Stamps Today!

Do you work as a notary public in Pennsylvania, or are you training to be one? If so, we want to make sure you’re aware of the major changes instituted by the Revised Uniform Law on Notarial Acts (RULONA), which will take effect on October 26th, 2017. For a full summary of the new law, click here.

Naturally, at Rubber Stamp Station, we’re interested in the changes coming to the official PA notary stamp. The official notary seal or seal embosser is the most-used tool for notaries. It’s used to authenticate the notary public’s signature and make the notarial act legitimate. You won’t accomplish much if you don’t have that seal of approval! Make sure your notary stamp follows the guidelines below.

Changes To The Official PA Notary Stamp

The official stamp of the notary (formerly called the notary seal) must contain these items in the following order:

  • The words “Commonwealth of Pennsylvania”**
  • The words “Notary Seal”
  • The name as it appears on the commission of the notary public and the words “Notary Public”
  • The name of the county in which the notary public maintains an office
  • The date the notary public’s commission expires
  • The notary commission number*

**New items that were not necessary until now. Here’s an example of a RULONA-compliant stamp:

The size of the stamp remains the same (a maximum height of 1 inch and a width of 3 ½ inches with a plain border), and the use of an embosser is still optional. These changes aren’t drastic, but you will still have to order new notary stamps for your duties.

However, there are a few simple yet crucial steps that you should take if you want to extend the life of your stamps. The first is to store the stamps in a location that doesn’t get too hot or too cold – that one’s simple. The second step is to refill the ink in your self-inking and pre-inked stamps whenever you notice that the impressions are becoming less vivid than they used to be. This step is a bit more involved, so we’re here to give you some pointers to use when it comes time to re-ink:

  1. Don’t delay re-inking. It’s important that you don’t keep using your stamp once the impression starts to fade. Letting the stamp get too low on ink may interfere with its ability to properly absorb ink moving forward.
  2. Make sure you choose the correct ink for your stamp model and type. For instance, if you’re using the Ideal 200 self-inking stamp, purchase ink that says it is for use in this stamp in the description. As a rule of thumb, only oil-based inks should be used in pre-inked stamps and only water-based inks should be used in self-inking stamps. Using the incorrect formula for your stamp type can damage it and may even render it unusable.
  3. Re-ink your stamp using the same ink color you were using previously. For both pre-inked and self-inking stamps, switching to a different ink color isn’t a good idea. There will probably be some of the old color left and it will blend with the new one, likely leading to a less-than-desirable color.
  4. Check the ink pad. In addition to re-inking, keep in mind that you may also need to replace the ink pad if you have a self-inking stamp. These pads can wear out naturally over time with use.
  5. Slowly add ink to pre-inked and self-inking stamps. Adding just a few drops at a time will prevent overfilling and keep you from wasting ink. If you accidentally add a bit too much, gently dab it off the surface using a paper towel.

By following these tips and tricks, you’ll keep your self-inking and pre-inked stamps in top condition, allowing you to use them for years to come.
